Photoface Ltd is committed to safeguarding and promoting the welfare of children and young people.
The safety, welfare, privacy and dignity of the children we photograph are extremely important to us.
This policy explains the standards expected when Photoface provides photography services within schools and nurseries.
DBS Checks
Photographers attending schools and nurseries on behalf of Photoface are DBS checked.
Photoface staff and photographers are expected to behave professionally and appropriately whenever working with children and young people.
Working Within Schools and Nurseries
Photoface works in cooperation with the school or nursery and follows the safeguarding arrangements applicable at the premises.
The school or nursery manages its own photography permissions and opt-out arrangements and is responsible for informing Photoface where a particular child should not be photographed.
Photoface photographers will follow the instructions provided by the school or nursery.
Photography and Consent
Photographs are taken for the purposes agreed with the school or nursery, including providing parents and guardians with the opportunity to purchase school or nursery photographs.
Where Photoface wishes to use an identifiable photograph of a child for its own website, social media, promotional materials or marketing, appropriate written permission will be obtained.
Secure Access to Photographs
Photographs made available online are provided through private galleries.
Parents or guardians receive individual access information, which may be provided using a proof card, QR code or proof envelope.
A valid access code is required to access the photographs associated with that gallery.
Photoface does not provide a publicly searchable online gallery of children’s school or nursery photographs.
Professional Conduct
Photoface photographers are expected to:
- Treat children with dignity and respect
- Follow the school’s or nursery’s safeguarding requirements
- Follow reasonable instructions given by staff
- Maintain appropriate professional boundaries
- Avoid inappropriate or unnecessary physical contact
- Act professionally throughout the photography session
- Protect the confidentiality and privacy of children
Safeguarding Concerns
If a Photoface photographer or member of staff becomes aware of a safeguarding concern while working within a school or nursery, the concern should be reported promptly to the school’s or nursery’s Designated Safeguarding Lead or other appropriate member of staff.
Photoface will cooperate appropriately with the school, nursery or relevant authorities where a safeguarding matter arises.
Photograph Security
Photographs and associated information must be handled securely and should only be accessible to people who have a legitimate reason to access them.
Photoface uses specialist photography systems and suppliers as part of its gallery, ordering and fulfilment process.
Staff Awareness
Photoface expects photographers and relevant staff to understand their safeguarding responsibilities and the procedures they should follow when working in an educational or childcare setting.
Policy Review
This policy will be reviewed periodically and updated where necessary following changes in legislation, guidance, working practices or Photoface’s services.
